Position Summary

The Operation Coordinator is an essential team member supporting Operations and executing on business critical tasks and data entry and management. This position is responsible for operations tasks related to invoicing and billing, and will manage our CRM. The Operations Coordinator will ensure both clients and CLG have accurate and complete follow through of all client records and contact related details. This position provides efficient client service by utilizing in-depth knowledge of CLG data. This position will report to and collaborate with the Director of Operations.

The Role

• The ideal candidate for this position is comfortable working cross functionally as a liaison between Sales, Client Services, and Finance.
• Process sales invoices for client contracts and ensure delivery, receipt, and payment of invoices.
• Respond to client billing inquiries for clients.
• Manage and customize CLG invoice process as it relates to client billing requirements, including monitoring client billing portals, revisions of client invoices to match client required details and other paperwork to ensure accuracy and compliance.
• Manage the operational set-up of new customer accounts and ensure client records in CRM and billing systems are accurate and up to date.
• Perform data related tasks including data entry, organizing information, and analyze data usage by other members of the business to create and maintain key reports and dashboard.
• Create and distribute weekly financial reports that communicate to the teams key metrics ranging from Aging Receivables to Sales OKRs.
• Other project work as identified in support of the above workflow.

Experience and Background

• 2-4 years experience in a similar role
• Familiar with software: Mac IOS, Asana, Hubspot, G Suite, and Quickbooks or other Billing software.

• Full-time, 100 percent virtual, exempt
• Hours: Monday-Friday 9am-5pm PST

Compensation

• Range: $55,000 to $65,000
• Salary based on education, skills, and experience
